Solution

AI Guidance, Guardrails and Practical AI Workshop

Bedmax wanted to explore how Artificial Intelligence could support the business, but the priority was to make sure employees understood the technology before moving towards wider adoption.

Rather than introducing AI simply because it was available, Bedmax wanted its team to understand where AI could genuinely help, how to use it effectively and how to do so responsibly.

GrowthZone AI worked with Bedmax to create a practical starting point that combined responsible AI guidance with hands-on training.

How did GrowthZone AI help Bedmax introduce AI?

GrowthZone AI helped Bedmax establish practical AI guidance and guardrails, then delivered an in-person workshop for seven team members covering responsible use, prompting, ChatGPT, Microsoft Copilot, AI Assistants and everyday business applications. The aim was to build understanding and help employees identify useful opportunities rather than push AI adoption for its own sake.

The challenge

Bedmax wanted to explore how Artificial Intelligence could support the business, but the priority was to make sure employees understood the technology before moving towards wider adoption.

Rather than introducing AI simply because it was available, Bedmax wanted its team to understand where AI could genuinely help, how to use it effectively and how to do so responsibly.

GrowthZone AI worked with Bedmax to create a practical starting point that combined responsible AI guidance with hands-on training.

The GrowthZone AI approach

The work began by helping Bedmax establish a clearer framework around the responsible use of AI.

This included discussions around AI guidance and guardrails, covering areas such as:

  • data protection
  • confidentiality
  • appropriate use
  • human oversight
  • accountability

GrowthZone AI then delivered a two-hour, in-person Practical AI Workshop to seven members of the Bedmax team.

The session was deliberately designed to be approachable and relevant to a real working environment rather than a technical lesson about Artificial Intelligence.

What the workshop covered

The team explored:

  • AI and Generative AI in plain English
  • common AI myths and misconceptions
  • responsible AI and security
  • ChatGPT and practical business applications
  • Microsoft Copilot and its role within Microsoft 365
  • how to write more effective prompts
  • using AI for emails, documents, meetings, reports and other everyday tasks
  • identifying repetitive work where AI could potentially save time
  • choosing the right AI tool for different tasks
  • an introduction to AI Assistants
  • practical examples relevant to different roles and departments

Participants were encouraged to ask questions and consider how AI could apply to their own responsibilities rather than simply watching demonstrations.

From understanding AI to spotting opportunities

One of the most important objectives was to help employees move beyond simply knowing that AI exists.

The workshop encouraged the team to begin asking a much more useful question:

Where could AI make the way we currently work easier or more efficient?

That shift was reflected directly in participant feedback.

One attendee said the workshop would encourage them to:

“Identify areas AI can be used to improve processes throughout the business.”

Another said the session had increased their understanding of AI after already having some previous knowledge.

This is an important part of practical AI adoption.

The goal is not to use AI everywhere.

It is to give people enough understanding and confidence to recognise the places where it could genuinely make a difference.

What participants valued

Feedback highlighted several parts of the workshop as particularly valuable.

One participant identified:

“Understanding AI security, learning effective prompting techniques, and identifying the most appropriate type of AI for different tasks.”

Another highlighted:

“Kaye's knowledge and informal style”

alongside learning about AI Assistants.

The feedback also suggested that the level of the session worked well for a group with different levels of existing AI knowledge, with one attendee describing it as:

“Perfect for the mixed amount of knowledge in the room.”

Creating interest beyond the workshop

The session also created interest in what Bedmax could explore next.

Participants specifically expressed interest in learning more about:

  • creating AI bots and Assistants
  • more in-depth use of Copilot
  • applying AI to processes across the wider business

This gave Bedmax a foundation for continuing its AI journey based on practical business requirements rather than technology for technology's sake.

The outcome

Build understanding

Employees gained a clearer picture of what modern AI can and cannot do.

Increase confidence

Participants developed practical knowledge they could apply to their own roles.

Improve prompting skills

The team learned how better instructions and context can produce more useful AI outputs.

Strengthen responsible AI awareness

Security, confidentiality and human responsibility remained central to the session.

Identify future opportunities

Employees began thinking about processes and tasks across Bedmax where AI could potentially improve how work is carried out.

Create appetite for further learning

Feedback identified AI Assistants and more advanced Microsoft Copilot use as areas participants would like to explore further.

What the Bedmax team said

Understanding AI security, learning effective prompting techniques, and identifying the most appropriate type of AI for different tasks.

Kaye's knowledge and informal style were great. Learning about AI Assistants.

It was perfect for the mixed amount of knowledge in the room.

I will definitely be using AI on a daily basis and look forward to gaining more knowledge on how it can improve processes throughout the business.

The GrowthZone AI difference

For Bedmax, the objective wasn't to walk into a room and tell people that AI would transform everything.

It was to make AI understandable, practical and relevant.

GrowthZone AI combined responsible AI guidance with real-world demonstrations and straightforward training so employees could understand where the technology could support them and, equally importantly, where human judgement and responsibility remain essential.

The result was a team better equipped to explore AI confidently and identify where it could deliver genuine value within the business.
